What goes from helloswap to Salary

Hours per person, per day

For people paid by the hour, helloswap sends each day's hours as one registration, and they are counted in the next pay run. For people on a fixed salary it sends the hours as working time only, which changes nobody's pay.

Pay supplements, on a variable supplement

You choose once which variable supplement (Variabelt løntillæg) in Salary each pay supplement goes on. helloswap then sends the supplement hours on it; the rate is the one on the person's contract in Salary.

Matched by employee number

The hours find the right person by employee number, and helloswap can fetch the numbers from Salary for you. For each period you choose whether the hours are the published shifts or what your staff clocked.

How you set it up

Open the Salary card
Under Integrations and API, on the card “Salary — direct connection”, press “Open Salary”.
Make an API key in Salary
In Salary, go to Virksomhed → API-nøgler → Tilføj API-nøgle and give the key access to employees and time registrations — and to salary registrations, if you will send pay supplements.
Paste the key
Paste the key on the card and press “Connect”. The key is kept encrypted and is not shown again. On the same card, “Fetch employee numbers” reads the employee numbers from Salary, and “Pay types for supplements” is where each pay supplement gets its variable supplement in Salary.
Send a period
Under Payroll export, set “File for” to “Danløn or Salary”. “See what will be sent” shows the period before anything is sent, and “Send to Salary” then writes it into Salary.

Salary also imports the file helloswap makes in Danløn's format, under Registreringer → Tidsregistrering → Importér fra fil → Danløn format. The file holds the hours and the pay supplements too. Use one of the two for a period, not both.

Which plan it needs

The direct connection is in the Growth plan and in Enterprise, and so is the file. On Salary's side, an API key needs Salary Basic or Premium.

What it does not do

It sends hours, never a rate or an amount. What an hour is worth, a supplement hour too, is on the person's contract in Salary. A pay supplement goes on a variable supplement (Variabelt løntillæg) only, and one with none chosen is not sent.
It does not change the pay of anyone on a fixed salary. Their hours are sent as working time only, and only when working-time registration is switched on in your Salary company.
Nothing is sent by itself. You choose the period and press send.
From Salary it fetches employee numbers and nothing else: no new employees, no rates and no payslips. It does not send leave or absence to Salary.
It changes nothing you made in Salary yourself. Registrations made in Salary, leave and anything already in a pay run are left as they are.

Questions

What happens if I send the same period twice?

What was sent for that period before is replaced, not added, hours and supplements alike. Days that are already in a pay run in Salary are left as they are, and you are told how many.

How do pay supplements reach the payslip?

helloswap sends the supplement hours on the variable supplement (Variabelt løntillæg) you chose, day by day. It has to be on the person's contract in Salary, which is where its rate is. Someone whose contract does not have it is left out for that supplement and named before anything is sent. Look at the first pay run with supplements in Salary before you approve it.

Do I need a paid plan in Salary?

For the direct connection you need an API key, and Salary offers API keys on its Basic and Premium plans. The file uses Salary's own file import and needs no key.

What happens to the API key?

It is kept encrypted and is never shown again. “Disconnect” on the same card makes helloswap forget it. Nothing in Salary is removed.

How do I know the hours arrived right?

After sending, helloswap lists what Salary did not accept, with the reason. The hours are counted in the next pay run, and the pay run in Salary shows each person's total. Salary's own list under Registreringer → Tidsregistrering shows hours day by day only for employees set to “Detaljeret tidsregistrering”; for an employee on “Simpel tidsregistrering”, look at the pay run.
