What a restaurant's week is like

The busy hours are the unsocial ones

Most of the hours fall in the evening, on Fridays and Saturdays and on public holidays. Those hours often carry a supplement, and someone has to count them for payroll.

Close late, open early

Someone who closes at 23:00 and opens at 07:00 the next morning gets 8 hours of rest. Danish law asks for 11. That is easy to miss when the week is in a spreadsheet.

A sick call at four o'clock

When someone is ill a few hours before service, somebody has to phone round. The people who could take the shift are not always the first you think of.

What helloswap does about it

Everything below is in the product today. A function marked Growth needs the Growth plan or Enterprise. The rest is in every plan.

Shift swaps with your approval

A waiter offers a shift to one colleague or to the whole team, or proposes a swap. When both have agreed, you approve. A swap that breaks a rest rule is refused before it reaches you.

One tap on “I'm sick”

You are told at once, the day is recorded as sick leave and the shift goes on the swap board. Only colleagues who are free that day and may work the shift are asked.

Supplements for evenings, weekends and public holidaysGrowth

Set which days and hours give a supplement, as an amount per hour or a percentage of the hourly rate. helloswap works them out from the published schedule. In Denmark you can start from the figures in the café and restaurant agreement and check them against your own.

The 11 hours between closing and opening

Danish law asks for 11 hours of rest between two shifts. helloswap checks every shift against your country's working-time rules as you plan, and too little rest is blocked, with the reason in plain words.

Stricter rules for staff under 18

Enter a date of birth, and helloswap checks every shift against the rules for young workers: daily and weekly hours, rest and night work.

Clock in and out, and a file for payrollGrowth

Staff clock in and out on their phone or on the website, and the hours worked sit next to the hours planned. Payroll gets a file for Danløn or Salary with hours and supplements, or a plain CSV.

A list of people who want more hours

Students and extras put themselves on the list. When a shift opens, they get a message, and the first to take it has it. You switch the list on in Settings.

What it costs

You pay per employee per month. There is no minimum and no base fee. The first 14 days are free and need no card.

Supplements, time tracking and the payroll file are in Growth. The schedule, shift swaps, sick calls, the standby list and the working-time rules are in every plan.

Questions

Can helloswap work out evening and weekend supplements?

Yes, on the Growth plan and up. You set the days, the hours and the rate for each supplement, also for public holidays and for hours after midnight. They show in Reports as part of the labour cost and go into the payroll file on their own lines.

What happens when someone calls in sick shortly before a shift?

They tap “I'm sick” on the shift, which they can do for a shift today or tomorrow. You are told at once, the day is recorded as sick leave and the shift goes on the swap board for the colleagues who are free that day. It stays in the sick person's name until someone has taken it and you have approved. If nobody is free, you are told that too, and you can give the shift to someone on the schedule yourself.

Does it stop me from breaking the 11-hour rule?

Yes. Rest between shifts is checked when you put someone on a shift, when someone takes a shift from the swap board and when you approve a swap. A shift with too little rest is refused, with the reason in plain words. The rules follow the company's country and are in every plan.

Do my staff need an app?

No. Everything works in the browser on a phone. There is also an Android app on Google Play. On an iPhone, staff open helloswap in the browser and can add it to the home screen.

What does it cost for a restaurant with 20 staff?

Starter is €3 per employee a month, so 20 people is €60 a month. Supplements, time tracking and the payroll file are in Growth, at €5 per employee. There is no minimum and no base fee.
