What a week in events is like

No two weeks are alike

One week has a conference and two weddings, the next has nothing. The crew, the roles and the hours change with every job.

A large pool, few regulars

Most of the crew work now and then. Who is free on a given Saturday is something you find out by asking, one message at a time.

Changes until the last day

Someone drops out the day before, and the hunt for a replacement starts over.

What helloswap does about it

Everything below is in the product today. A function marked Growth needs the Growth plan or Enterprise. The rest is in every plan.

Publish the event as open shifts

Create the shifts the event needs with nobody on them, and publish. Your crew see them on the swap board, and an open shift belongs to the first person who takes it, unless a working-time rule blocks it.

Hours that fit the job

A shift can have its own start and end time, so a set-up from 14:00 and a close-down that ends at 02:00 are planned as they are. Rest and working-time rules are still checked.

A message to everyone who wants the work

Crew who want shifts put themselves on a list. When you publish open shifts, they get one message with the shifts they could take.

The roles each shift needs

Give people the skills they are signed off for, such as bartender, rigger or first aid. A shift that needs a skill can only be taken by someone who has it.

Availability from each person

Crew set when they can work. A shift outside it gives you a warning while you plan.

Shift swaps with your approval

Someone who cannot come offers the shift to one colleague or to the whole crew. When a colleague has taken it, you approve.

One tap on “I'm sick”

You are told at once, the day is recorded as sick leave and the shift goes on the swap board. Only colleagues who are free that day and may work the shift are asked.

What it costs

You pay per employee per month. There is no minimum and no base fee. The first 14 days are free and need no card.

Everything on this page is in every plan, Starter included.

Questions

Do I pay for people who only work now and then?

You pay per active person per month. Someone you have invited who has not accepted yet is not billed, and neither is someone you have suspended. Suspending deletes nothing.

Is there a schedule for each event?

Not as such. helloswap has a schedule per department, and an event is the shifts on its day. On Growth and up you can have several departments, for example one per venue.

Can one person have two shifts on the same day?

No. helloswap gives a person one shift a day, also across departments. A shift can have hours of its own, but a day in two separate stretches cannot be planned as two shifts for the same person.

What happens when someone calls in sick shortly before a shift?

They tap “I'm sick” on the shift, which they can do for a shift today or tomorrow. You are told at once, the day is recorded as sick leave and the shift goes on the swap board for the colleagues who are free that day. It stays in the sick person's name until someone has taken it and you have approved. If nobody is free, you are told that too, and you can give the shift to someone on the schedule yourself.

Do my staff need an app?

No. Everything works in the browser on a phone. There is also an Android app on Google Play.

What does it cost for a crew of 30?

Starter is €3 per employee a month, so 30 active people is €90 a month. Everything on this page is in Starter. There is no minimum and no base fee.
